Overall Purpose of the Role:

Our client is seeking for a Facilities Executive to join their Global Facilities Department. You will be in charge of the soft services aspect of their Facilities Management contract, as well as overseeing other areas such as Project Management, Contract Management, Budget Management, H&S, Office Services and Lease Management for the Building Portfolio.

The Facilities Executive will be based in the new Global Head Quarters in Dublin, but you will also need to travel domestically to manage the FM Contract. You should have a strong technical background and be able to showcase your expertise in Facilities Contract Management, Project Management, Procurement and Health and Safety.

Main Duties & Responsibilities:

  • Manage the FM/cleaning contract of the regional offices, including facilities management contracts, maintenance contracts, and soft services (such as reception, security, waste management, pest control, window cleaning, plant maintenance, etc.).
  • Ensure high standards of service delivery and client satisfaction across the facilities portfolio.
  • Review PPM reports and recommendations and implement appropriate actions.
  • Project manage external contractors and agents to deliver timely and cost-effective solutions in line with the company’s strategy.
  • Manage the room setup of function events and large visitor bookings.
  • Support the property management and lease management of our client’s office buildings.
  • Manage the preventative maintenance program for 3PP and the regional offices to comply with health and safety and legislative requirements across all soft services and some hard services (such as Emergency lighting, PAT testing, Gas Detection, Leak Detection, Legionella & Bacteria sampling, etc.).
  • Support procurement and tender processes across the facilities portfolio in accordance with public agency best practices.
  • Adhere to the Office of Government Procurement guidelines and policies.

Key Requirements:

  • Third level qualification in Facilities Management.
  • At least 5 years of experience in managing soft services and hard services contracts for multiple sites.
  • Commercial and technical knowledge of facilities management.
  • Project management skills and experience.
  • Excellent communication and interpersonal skills.
  • Client focused and relationship building skills.
  • Negotiation and influencing skills.
  • Creativity and innovation skills.
  • Proficiency in MS Word, Excel, PowerPoint, and AutoCAD.
  • Full clean driving licence and own car.
  • Knowledge of health and safety, procurement, tendering, and environmental and sustainability issues.
