Our Client:

Azon are delighted to be partnering with a well-known semi-state body to add a Facilities Executive to their growing team. This exciting opportunity entails overseeing soft services within the current Facilities Management department. Additional duties include project management, contract management, budget management, health and safety compliance, office services, and lease management for the organization’s growing portfolio.

The successful candidate will be based at our clients Global Headquarters in Dublin 2, but occasional travel is necessary for overseeing the Facilities Management Contract. Candidates should possess strong technical skills and demonstrate expertise in Facilities Contract Management, Project Management, Procurement, and Health and Safety practices.

Key Responsibilities:

  • Oversee the day-to-day operations of the facilities management and cleaning contract with an external service provider, covering our client’s locations and regional offices worldwide.
  • Supervise various soft services including reception, security, waste management, pest control, cleaning, and plant maintenance, ensuring compliance with high standards and active engagement with stakeholders.
  • Evaluate planned preventive maintenance reports and suggestions.
  • Act as project manager for external contractors and partners, ensuring efficient and timely project completion aligned with the company’s goals.
  • Coordinate arrangements for events and manage bookings for large-scale visitor engagements.
  • Assist in property and lease management tasks for our client’s office properties.
  • Implement and manage preventative maintenance schedules to meet health, safety, and regulatory requirements across soft services, with particular attention to critical hard services.
  • Support procurement and tender processes across the facilities portfolio following established protocols for public agencies.
  • Adhere strictly to applicable procurement frameworks.
  • Enforce established procedures and regulations, ensuring full compliance.
  • Assist in the ongoing review and implementation of health and safety policies across all office locations.
  • Handle day-to-day interactions with landlords and sub-tenants effectively.
  • Undertake office projects as needed.
  • Leverage technology to optimize facilities management operations and maintain corporate governance standards.
  • Demonstrate adaptability in taking on specific projects within the Global Facilities Department.
  • Develop and present proposals to relevant decision-making bodies.
  • Provide support for lease expiration processes and management of dilapidations in the property portfolio.

Key Requirements:

  • Minimum 3-4 years’ contract management in Soft Services.
  • Strong communication, client relations, and project management skills.
  • Negotiation, influencing, and networking abilities.
  • Proven track record in multi-tenancy soft services management.
  • Technical expertise in Hard Services and commercial acumen.
  • Ability to work independently, under pressure, with flexibility for travel.
  • Full driving license required.
  • Proficiency in MS Word, Excel, PowerPoint.
  • Desirable: Proficiency in AutoCAD, Health and Safety knowledge, tender document creation experience, familiarity with e-tenders portal, understanding of environmental sustainability.
