Our Client
Our client currently requires a Property Administrator to support Property Managers in their day-to-day activities. They require an articulate and professional individual with extensive experience in residential property administration in a lettings or property management environment. The position involves working closely with the Property Management team while also being able to work independently and adapt quickly in a fast-paced environment. The role also entails handling numerical data related to rental figures and tenant data, inputting them daily onto software systems and documents.
The Role
The position is full-time, office-based, from Monday to Friday, 9 am to 5:30 pm, and the company is interviewing candidates now, with an immediate start available. The main responsibilities of the job include assisting the Property Management team with administration documents and some lettings processes, typing, and organizing reports and statistics, and handling RTB Registrations and updates during tenancies.
Key Responsibilities
- Supporting the Property Management department by producing and updating administration documents, which will include some lettings processes.
- Typing, organizing, and reviewing reports and statistics.
- Marking up documents, typing, copying, scanning, and printing.
- Handling RTB registrations, updates, and tracking during tenancies.
- Conducting Rent Reviews, including taking upcoming and active reviews, securing comparables, calculating RPZ, issuing rent review notices to tenants, creating new lease documents, and updating RTB.
- Arranging RPZ Calculations as required.
- Cross-checking reports and providing updates or amendments.
- Working with property software packages, which involves managing the database system for tenancy details. Training will be provided, and duties include inputting tenancy details, running lease and tenant information documentation, running mail merges, and running regular reports to Excel while adapting them to specific requirements.
- Working on tenant communication platforms like Building Link, which mainly involves data entry of tenant details and running reports.
- Setting up folders and files for the lettings team and Property Managers.
- Conducting tenant profiling by reviewing new tenant details and arranging relevant data entry.
- Preparing and coordinating PSRA/ Service Level Agreements.
- Creating and issuing mail merges for tenants.
- Preparing various types of reports and documents, including formatting Word documents, using existing templates or creating new ones, and collating and merging data.
- Working on ad hoc client reporting as required.
- Assisting with answering phones for lettings and property management when required.
Key Requirements
- Fluent in spoken and written English is a must-have.
- Being articulate and paying attention to details is highly valued.
- A minimum of 2 years of experience in a residential property administration role
- Effective time management abilities with the skill to handle multiple tasks concurrently.
- Maintaining confidentiality is of utmost importance.
- Consistent delivery of high standards of customer service and team spirit.
- Strong organizational abilities and a flair for details are necessary.
- Working knowledge of Microsoft Word, Excel, and Outlook is a requirement, coupled with excellent typing skills.
